This Privacy Policy explains how we collect, use, store, and share information when you use our platform, real estate CRM, custom websites, and associated services (collectively, the "Services").

By accessing or using our Services, you agree to the collection, transfer, storage, and processing of your personal data as outlined in this Privacy Policy. If you do not agree with these terms, please discontinue use of the platform.

2. Information We Collect

We collect information that you directly provide to us, as well as data automatically generated through your interaction with our Services:

• Account Information: When you sign up, we collect your name, agency name, phone number, email address, physical address, and login credentials.
• Listing & Portfolio Data: Details, photographs, pricing, dimensions, and locations of properties you list on your portal.
• Lead Submissions: Information submitted by visitors on your custom portal (e.g., name, phone number, budget, property preferences).
• Usage & Device Info: IP addresses, browser types, device information, operating system, and log files collected via cookies.

3. How We Use Your Information

We use the collected information for the following purposes:

• To set up, configure, and maintain your custom agency website and subdomain portal.
• To power CRM lead management tools, automated assignments, and WhatsApp notifications.
• To monitor platform uptime, troubleshoot errors, and optimize website responsiveness.
• To send security updates, service advisories, and administrative communications.

4. Legal Basis for Processing

We process your personal data under the legal bases of contractual necessity (to provide the Services you agreed to purchase) and our legitimate interest in securing our infrastructure, preventing spam, and improving user experience.

5. Data Retention & Archiving

We retain account data for as long as your subscription is active. Listing databases and captured lead logs are stored securely and archived or permanently deleted within 90 days after account termination or upon explicit request.

6. Data Security Measures

We implement industry-standard technical and organizational security protocols, including SSL encryption for all custom domains, secure database isolation, and hashed password storage, to safeguard your records against unauthorized access.

7. Cookies & Tracking Technologies

We use functional and analytical cookies to remember login sessions, save dashboard preferences, and analyze platform traffic patterns. You can manage or disable cookie preferences directly in your web browser settings.

8. Third-Party Integrations & Services

Our Services integrate with third-party vendors to deliver core functionality. These integrations include:

• WhatsApp Business API (Meta): Used to send and receive WhatsApp messages between brokers and their leads. Message content is processed solely to deliver the messaging feature and is not shared with any other third party.
• Google Calendar API: Used to create, read, and update calendar events on behalf of authenticated brokers, syncing lead activities to their Google Calendar. See Section 8a below for full disclosure.
• SMS Gateways & Database Hosts: Used for notification delivery and secure data storage. All providers operate under strict data processing agreements and may not use your data for their own purposes.

We do not sell, rent, or trade your personal data or Google user data with any third party. Data shared with the above providers is limited to what is strictly necessary to perform the described function.

8a. Google API Data — Limited Use Disclosure

BrokerBuz uses the Google Calendar API with the https://www.googleapis.com/auth/calendar.events scope. When you connect your Google Calendar, BrokerBuz:

• Creates, reads, and updates calendar events on your behalf to sync lead activities (such as scheduled calls, site visits, and follow-up reminders) to your Google Calendar.
• Accesses only the calendar events it creates or is explicitly directed to manage — it does not read your full calendar history or personal events.

Data Sharing & Transfer: Google Calendar data obtained via OAuth is used solely within BrokerBuz to provide the calendar sync feature. This data is not transferred, sold, disclosed, or shared with any third party for any secondary purpose.

AI / Machine Learning: BrokerBuz does not use any third-party AI or machine-learning services that process Google user data. Google Calendar data is never used to train, improve, or personalise any AI or ML model — whether operated by us or any third party.

BrokerBuz's use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

9. Your Choices & Rights

You can access, correct, or delete your account records directly via the BrokerBuz dashboard. If you wish to close your account or permanently delete your listings database, you can contact us at info@brokerbuz.com.
